New in Heritage...
Heritage version 4.2, released in July 2004, represents several years of development work and was the most significant upgrade since the release of Heritage itself in 1997. There were three major changes to the software, primarily a complete rewrite of our circulation module, a brand-new reporter and enhanced multi-site functionality.
The latest version, 4.2.6, was released in January 2007. A summary of some of the new features in recent upgrades can be found below (although full lists of changes and fixes are available as helpsheets elsewhere on this website).
Cataloguing Module
| 13 Digit ISBNs (4.2.5 and above) | Heritage is already set up to handle 13 digit ISBNs, but from version 4.2.5, if a 13-digit ISBN is entered, the catalogue will also be searched for the 10-digit version when checking if the record already exists. In addition, when a 10-digit ISBN is entered, the 13-digit ISBN is also searched for. From 4.2.6, the ISBN13 configuration can be set so that the 13-digit form of the ISBN is used for catalogue records with a publication year of 2007 or later, and the 10-digit form used for items published 2006 or earlier. |
| Accession Record (4.2.5 and above) | A new page has been added to the Accession record. Much of the functionality added is outlined in the Circulation Module features below (e.g. 'Lost on Loan' status, Circulation & Return messages etc) as it relates to circulation functions. New in 4.2.5 is a configuration value, ACCLOANSUMMARY, which allows you to specify whether details of the current loan or previous loan are to be displayed in the 'Previous Loan' field (page 1) for items which are on loan. |
| Document Revision Management (4.2.5 and above) | The new Document Revision Management facility (which you can opt into using the Configuration value REVISIONCONTROL) allows you to schedule and monitor updates to documents. This can be used, for example, for loose-leaf documents which are periodically revised or manuals which are regularly replaced with updated versions. Each accession record will contain a record of the revisions made. Recalls are set up for the items to update. |
| Modifying Authority Files (4.2.5 and above) | A new form, ‘Modify Authority Files’, has been added to the Management Menu (under Indexes), which allows easy modification of authority file entries (e.g. keywords, authors etc). It works on a similar principle to the current global change and global delete functions but is much simpler, enabling you to view current entries direct from the form and select, via a popup list, those to change or delete. It also includes a test run feature which allows you to check how many records will be affected before running the actual modifications. The program keeps a log of the changes made and also updates the relevant authority file index at the end of the process (NB. you will still need to rebuild your enquiry index when the process is complete). |
| Multiple selection (4.2.5 and above) | The facility for Keyword selection outlined above can now be turned on for any authority file (i.e. not just keywords). This can be performed by checking the 'Multi select' checkbox in the relevant Popups form. |
| Websites (4.2.6 and above) | A new media type for Web sites - WS (Web site) - has been introduced, plus a default display layout to go with it. |
Circulation Module
| Blocks (4.2.6 and above) | The new Blocked tickbox on the Reader record allows you to block all circulation functions for specific readers. This can be used, for instance, for readers who have lost their cards. |
| Ethnicity (4.2.6 and above) | It is now possible to adapt the Language field on the reader record to record the reader’s ethnicity, by renaming the field then associating it with the new REG (Reader’s ethnic group) lookup. This is described in helpsheet HC36 - Recording Reader Ethnic Group. |
| Permissions (4.2.5 and above) | It is now possible to ‘tag’ reader records and catalogue records so that tagged items can only be borrowed by those readers with the appropriate permissions. This facility needs to be set up by IS Oxford for individual Heritage installations. |
| Re-issues/Renewals (4.2.5 and above) | If an item is renewed on the same day as it has been issued (for normal loans) or immediately after it has been issued (for timed loans) and the due date remains unchanged, the renewal counter will now not be incremented, nor will the details of the renewal be added to the loan history for the item. |
| Re-send Overdues (4.2.6 and above) | A new Resend button on the Overdues page of the Reader Record allows you to clear the data for the most recent overdues letter produced for that reader, then re-produce the letter. |
| Returns (4.2.5 and above) | It is now possible to cancel the return of an item at the information message which is displayed on return. This may be useful if the message indicates that the reader is attempting to return the item to the incorrect site. |
| Reservation Restrictions (4.2.5 and above) | From version 4.2.5 it is possible to restrict reservations so readers can only reserve copies from the site at which they are registered. |
| Stamp date (4.2.5 and above) | From version 4.2.5, it is possible to set the stamp date to be the current date. This enables the library to lend items that need to be returned by the end of the day. In earlier versions the date is required to be a date in the future. |
| Stock Distribution (4.2.6 and above) | The new Stock Distribution feature allows you to use Heritage to monitor the distribution of items which do not need returning to the library, e.g. leaflets. The items are ‘issued’ using the circulation screen, then stay on the readers record for a predetermined set of time. Items can be issued in batches, and stock levels are monitored. You will be prompted when the number of items is reduced to a preset level and thus require restocking. The process is described in helpsheet HC35 - Stock Distribution. |
OPAC (Enquiry) Module
| 'Nothing Found' (4.2.5 and above) | From version 4.2.5, customisable text can be added to the ‘Nothing found’ screen, for example, requesting that readers contact the librarian for help. The text should be added in the pagetext.txt file, located in the Opac\lang\eng folder in the Heritage installation folder, in the line 'NoHitsHelp'. Any formatting of the text should use HTML tags (e.g. <br> for a new line, etc.). |
| Reset (4.2.5 and above) | A "Reset" button has been added to the search screen so that OPAC users can clear searches and reset the sort sequence and the brief and full display formats to their default values. |
| URL display (4.2.6 and above) | In Enquiry results the URL in associated file information is displayed as well as the note text so the information is available when printed. |
Reports
| Command Line Wizard (4.2.6 and above) | The Command Line Wizard guides you through creating or amending command line reports. You can choose from three levels of functionality, enabling it to be used by anybody producing command line reports, from novice users producing simple reports, through to advanced users wishing to use the full range of command line options to produce complex reports. It can be used to edit virtually all existing reports. The Wizard is described in helpsheet HR12 - Command Line Wizard. |
| School/Organisation Reports (4.2.6 and above) | The free Schools’ Reports module contains statistical reports on library usage which are of particular use to schools (this can be adjusted by non-schools for organization-specific reports). |
Serials Management Module
| Associated URLs (4.2.6 and above) | A new field (Associated document / URL) has been added to the serial title form to contain URLs related to the serial title. |
General
| New look (4.2.6 and above) | The icons throughout Heritage have been updated, including the Heritage IV icon. Also, TrueType fonts are now used throughout to improve the appearance. |
| Application scaling (4.2.6 and above) | The size of the Heritage screen components (field entries, field labels, etc) can now be magnified to 125%, 150% or 175% of the normal size. This feature will be useful for visually-impaired users. Instructions on configuring and setting the magnification can be found in helpsheet HG3 - Magnifying the Heritage Screen. |
| Spelling Checker (4.2.6 and above) | The new spelling checker allows you to check the spelling in individual fields or forms. It is
supplied with multiple dictionaries, and includes the option of creating custom dictionaries. |
| Multi-site (4.2.6 and above) | Heritage multi-site capabilities are now controlled by the new Multi-Site module. The module will be automatically enabled for current multi-site customers. |
| Multi-phase Stocktaking (4.2.6 and above) | The stocktaking function in Heritage has been expanded to allow libraries to conduct more than one stocktake simultaneously, for example covering different subsets of the library stock. It is particularly useful for multi-site libraries. (In Heritage versions prior to 4.2.6, if a stocktake had been started then it had to be completed before another could be started, even if the second did not overlap the first in terms of the items covered). It is possible to upgrade to Heritage version 4.2.6 whilst in the middle of a stocktake, as the stocktake details will be saved and can be continued using the new forms. Multiphase stocktaking is described in the Helpsheet HM46 - Stocktaking (Heritage version 4.2.6 onwards). |
URL checker
The URL checker will check the validity of web links stored in the catalogue record. At present it is fairly rudimentary, but we will be enhancing it as part of a future upgrade. Essentially, it requires an export to file of all the urls used in the catalogue (this can be scheduled). This file is then identified from within the URL checker. Once the check has finished, two files will be created – one listing the urls that are valid, and the other listing the urls which were not available (and therefore need to be amended).
(4.2.5 and above) From Version 4.2.5 it is possible, using the Event Scheduler, to schedule an event to export data, using function 404 'Routine data export' - this is particularly useful for exporting files for the URL checker.
New to 4.2 (and above)
Rather than remove the features that are no longer brand-new in Heritage completely from this website we thought it might be useful to keep a 'history' of the most interesting new features we have included since version 4.2 was introduced. It provides an easy reference guide to all the possibilities that Heritage offers, and you never know, the feature you want may have been there for years!
New Background Image! (4.2.4 and above)
Why not give your copy of Heritage a facelift? In addition to the new functionality, version 4.2.4 also contains a new menu background image for Heritage. All you need to do is rename the menuback2.jpg in the 'bmps' folder of Heritage to menuback.jpg (we suggest you copy the existing menuback.jpg first so you don't overwrite it completely).
Cataloguing
| Authority File restrictions (4.2.2 and above) | A new field, Add restriction (users), has been added to the Indexes form. In this field you can specify which users are able to add new authority file items (e.g. keywords, authors), if you do not wish all users to be able to do so. |
| Keyword selection (4.2.3 and above) | It is now possible to select multiple keywords from the Keywords field lookup list. There are now tickboxes to the left hand side of each keyword. To select a keyword, either double-click on the keyword or click in the associated tickbox. When all the keywords required have been selected, click OK to paste the keywords into the Keyword grid. In Heritage 4.2.2, only one keyword could be pasted into the field at a time. |
| Record Tags | Library staff can now tag Catalogue, Accession or Reader records for special reporting or processing purposes. Any number of different tags can be created – either personal tags for one-off purposes or permanent tags to indicate groups of items which need to be regularly edited or reported upon (e.g. a group of items that need to be temporarily given a different loan status, due to high demand). |
| Subject Hierarchies (4.2.4 and above) | The subjects entered in the Subjects form can now be arranged in hierarchies. These hierarchies can be visualised as a ‘tree’ with general terms at the top and more specific terms underneath. Thus you will be able to specify that, for example, 'Football' is below 'Sport' in a hierarchy. Future versions of the Heritage OPAC and Heritage Online will provide the facility for users to elect to either search just on the subject term they have entered, or ‘explode’ the search to include all narrower subject headings. |
Circulation
| Circulation Menu (4.2.3 and above) | The Circulation menu has been updated. There is a separate Circulation functions menu available from the Circulation menu, which contains the options Issue, Renew, Return, Reserve, Charges and Bookings. |
| Circulation & Return messages | These messages can be added to the Accession record for an item. Return messages only appear once, when the item is next returned (e.g. 'Hold for repair'), and are then deleted. Circulation messages appear every time the item is issued or returned (e.g. 'Check that the accompanying CD is enclosed) until they are deleted from the Accession record. |
| Copy-specific reservations | It is now possible for readers to place reservations on specific copies of a title (e.g. they could choose to reserve a standard loan copy rather than a short loan copy). |
| Customisation | In 4.2 it is now possible to change the colour of the bottom part of the circulation screen to help staff determine which mode they are currently in (e.g. issue mode, return mode etc). The mode is still indicated, as before, by the instruction ‘Enter Item to Issue/Return/Reserve’ etc but customising the screen colours can help prevent staff from making mistakes (e.g. accidentally renewing an item they intended to return). This can be undertaken from the 'Messages' function (see page 337 of the 4.2 manual, an online version of which can be accessed from the 'Help' menu on the Heritage menubar). |
| Discretionary loans | In the Circulation Rules form, items are now either 'Normal loan', 'Never loan' or 'Discretionary loan'. This means that 'Reference only' items can be loaned on occasion with a rule already determined (rather than using the 'Manual stamp date' each time). If you wish to be able to loan 'Reference only' items occasionally they need to be changed to 'Discretionary loan' items (the upgrade will automatically set them as 'Never loan' items). |
| Fine calculations | Fine amounts are now calculated upon the return of an item (rather than only when overdues are run) and a late payment penalty can be applied so that a reader does not get away with leaving their outstanding fine at the reader maximum! |
Fix Time icon |
We appreciate that library staff have many things to do first thing in the morning, and that returning timed loan items will not always be the top priority! In order to enable staff to leave this task until later in the morning (and avoid fines being incurred in the meantime) we have provided the 'Fix Time' icon on the Circulation screen toolbar, so that library staff can select a date and time in the past and then perform transactions as if they happened then! |
| Flexible messaging | Heritage version 4.2 now enables library staff to set different messages depending on the user login. If your library operates a self-issue station, for example, the messages can now be customised so they are easier for casual users to understand. For example, you may wish ‘Enter item number to ISSUE’ to read ‘Please swipe the item barcode’ on the self-issue station. |
| Item requests | Item requests are distinct from reservations, in that the items have a status of ‘Available’ but the reader is not presently at the site at which the item is located (therefore the library staff will have to retrieve the item from the shelves on their behalf for collection/postal loan/site transfer etc). |
| 'Lost on Loan' status | The Loan page of the new Accession record contains a Loan Status field with a drop-down menu. If a reader loses an item while it is on loan it is useful to record that the item is actually lost (i.e. not expected back in the library) in addition to the standard overdue information. By choosing the new 'Lost on Loan' status the item will remain in the relevant reader’s list of overdue items (until eventually ‘returned’ to the library, in order to update fine details etc) but details of the item can be automatically suppressed in the OPAC if desired as it is unlikely to become available again. |

Overdue generation |
New overdue letter templates have been added, so that emailed overdues can have different text and can be included in the email body if required, rather than the standard letters simply being sent as attachments. |
Overdues page (Circulation screen) (4.2.2 and above) |
A new page (Overdues) on the circulation form displays details of the items the reader has overdue. The information displayed includes the loan period (i.e. the number of days between the issue date and the due date), the number of days the item has been overdue, the amount of fine owing on the item and the date this fine was calculated. The fines displayed on the Overdues page are automatically recalculated each time the Overdues page or Reader Information form is accessed, providing the list does not number more than that specified in the configuration value CIRCMAXFINECALC. There is a new Refresh fines button which allows readers to automatically update the fine information when it is not updated automatically. |
| Postal loans | Heritage now handles postal loans, including the reservation of items, producing pick lists for library staff to retrieve from the shelves, address label generation and postage/service charges. |
| Reader information screen (4.2.2 and above) | It is now possible to select which reader information pages (e.g. Loans, Reservations) are displayed on the circulation screen. This is controlled by the new configuration CIRCPAGES. |
| Reader login (4.2.3 and above) | Automatic reader login and validation using LDAP (lightweight directory application protocol) is now possible, enabling readers to use passwords used with other internal databases with their Heritage login name. |

| Site transfers | Library staff can also offer site transfer requests in addition to item requests and postal loans. If the library is a multi-site library, then users can request an item and specify the site at which they wish to collect the item. If items are returned to the wrong site, they are automatically given an 'in transit' status and redirected to the correct site. |
OPAC (Enquiry Module)
| Advanced Wordlist | As all Heritage users will know, the OPAC wordlist is the list of all the index terms in the dataset which appears automatically as a search term is being entered. An enhancement has been added to the wordlist facility in the Advanced Search in 4.2, so that if the user selects a field-specific search (e.g. Author, Title etc) before entering the search term, the wordlist will only display words that have been indexed in that field (e.g. just author names in an Author search). |
| Catalogue note suppression | If desired, catalogue notes (on the Notes page of the catalogue record) can now be suppressed to the public, whilst still being visible to certain other users. They can still be suppressed to everyone or visible to everyone as before, but this was an enhancement that was requested by some customers who have some sensitive data. |
| Enlarge/Reduce icons | The toolbar on the OPAC results screen has new Enlarge and Reduce icons. Clicking on these will enlarge or reduce the size of the text on the screen, thus making the text easier to read for visually-impaired users. |
| Highlighted Search terms | The terms used in a search are now highlighted in both the Brief and Full search results screens (this feature can be disabled if required). The word(s) in the search term are highlighted in all of the text displayed in the results, i.e. the highlighting is not restricted to just the indexed fields. |
| Output | The Output icon does the same as the previous Print icon (it has been renamed, as it is not just for printing results, but also for copying, exporting and emailing them). |
Output (4.2.3 and above) |
In the email box available when emailing Enquiry results, there is now a field for adding text to be included with the email, and a ‘cc’ field for copying the email to a second address. In addition, the subject heading is now editable. |
Variant Spellings (4.2.4 and above) |
The Variant Spellings function allows you to specify that records containing a particular term are retrieved when a related term is searched for in Enquiry. This can cover, for example, common misspellings and typing errors, or British/American English spelling variations. The alternative terms are indexed so searching on either term will retrieve the record. Thus when common spelling errors are entered as search terms, records with the correct spelling of the term are retrieved, and when any of the alternative spellings are entered, records containing any of the alternatives are retrieved. The alternative spellings can be set by library staff in the Enquiry Index Setup. |
Reports
One of the major changes in version 4.2 was the introduction of a brand-new reporter. We updated the interface and improved functionality but tried to keep the user interface and operation similar enough to avoid the need for extensive re-training. In addition, over seventy new reports were added as part of the upgrade.
The new Report Writer has a number of advantages over the previous version, in that it operates in a very similar way to a normal word processor. Operations such as the creation of tables, changing font size, emboldening, underlining, italicising, text justification etc, are all straightforward. This means that text and fields no longer have to be aligned by dragging and dropping - word-wrapped, multi-line cells make vertical alignment and formatting easy.
'Standard' reports have been replaced in 4.2 by 'Banded' reports, so named as they use header, details and footer bands. Printed reports can have alternative report layouts to emailed ones (which is particularly useful for overdue notices). There is also no longer the problem with switching the destination printer from within Heritage (this was previously a problem with Win2000/NT platforms).
Unfortunately it is not possible to convert old Standard Reports to Banded Reports automatically. This means that Heritage users that had created their own standard reports or had edited the existing ones (such as overdue letter templates) in previous version will eventually need to re-create or re-edit them in the new reporter.
In order to smooth the transition to using the new reporter we have made it possible for users to continue to use their existing reports by running a cut-down version of 4.1.32 (see Installation Helpsheet HI27 for instructions).
Most Heritage users create new reports in the Command Line reporter, but we find that many have edited their Standard Reports in the past and will wish to do so again for their Banded reports. Any significant changes made to a layout or the sort and selection controls should be made on a copy of the original report. This is because we (IS Oxford) want to be able to update or improve the reports that are provided as standard in subsequent upgrades.
The Command Line reporter is very similar in operation to the old 'Ad-hoc' reporter, but we have added some facilities to improve the output. It is now possible to use proportional fonts (not just Courier), and reports can now be printed in landscape format with headers and footers on every page. After running a Command Line report, the Results display is, in fact, a print preview, and it is now possible to edit the appearance of the report prior to output (e.g. by adjusting the width of the columns displayed).
Serials Management Module
| Serial issue claims | In previous version of Heritage it was not possible to send automatically-generated claim letters for serial issues (a report could be produced to provide information on overdue issues but automatic notices were not possible). Version 4.2 now includes the necessary functionality. |
| Serial issue claims (4.2.2 and above) | When serial issues are received, claim records are now automatically generated for any previous issues which have not been received. |
General
| Sorting (4.2.2 and above) | It is now possible to sort many of the tables in Heritage by any column, either ascending or descending (and subsort by other column). The tables are on the following forms: Overdues information, Reservation priorities (List of reservers table), Serial receipts, Serial title (Holdings page), Reader import, Stocktake (Scan/enter accessions), and the form showing the results of running Find/fix corruptions. |
| Search (4.2.2 and above) | In the Tools menu, there is a new option Search data files, which enables you to search for words or phrases (including record IDs) in any file, or all files. |
Heritage Modules

Advanced Bookings new!
The new Advanced Bookings module will be available for customers to install by Easter 2005. It essentially enables library staff to reserve items or resources for periods of time in the future (rather than reservations, where a simple queue of borrowers is maintained). Bookings can be placed on equipment and rooms, as well as more traditional library stock, and therefore it is possible to book by the hour as well as by the day.
For items such as books, periodicals, CD-ROMs etc, a buffer period can be set in advance of the commencement of the booking, to ensure that items that have been borrowed in the intervening period are returned to the library in time to be set aside for collection. Library staff can view a bookings calendar when placing bookings, to see when resources might be available in the future. Reports detailing items that need to be retrieved from the shelves in order to satisfy bookings that are due to commence soon can be produced daily.
The Advanced Bookings module is priced at £1,000 plus VAT.

Quickcat Online
Quickcat Online is a web service using SOAP which radically reduces the time taken to catalogue items by providing online access from the Heritage Catalogue form to over 11 million up-to-date British Library, Library of Congress and National Library of Medicine catalogue records. As well as having many times as many records as our previous Quickcat (which utilised BNB data only), this online database is updated weekly, making it a vital source of records for current as well as retrospective cataloguing. Searching is possible using a number of fields including author, title and publisher in addition to the ISBN. The subscription to the data is included in the standard Heritage annual maintenance charge.

Serials Management Module
Heritage has a highly sophisticated serials management facility which handles every aspect of cataloguing and managing journals. It will immediately cater for the vast majority of subscription types from the regular (including 3 per month) to the infrequent or unpredictable. Heritage can create all of the expected issues for a subscription automatically for ease of checking-on. Routing (or circulation) lists can be generated by the system as issues are received. A claims facility and comprehensive budgetary controls round off the package.
The Serials Management Module is priced at £1,600 plus VAT, and includes the Heritage Acquisitions Module free of charge.

Heritage Online 3.2 new!
Heritage Online provides access to the Enquiry and Circulation aspects of Heritage via a web-browser (either via the Internet or an Intranet). We also offer a Heritage Online hosting service for our customers.

Heritage Online has been designed with ease of use a priority. The user is not confronted by lots of buttons and complicated syntax, but can simply enter terms and see what happens. Uncluttered screens and clever use of links are important aspects of this approach. More sophisticated users are also catered for, however, with the Heritage Advanced search and Boolean, nested and wildcard search facilities.
At present it is possible for users to search the catalogue, reserve items, issue items (and return them, if appropriate) and renew items already on loan. They will also be able to select and print results of searches, and add individual records to a ‘shopping basket’ of items which can be displayed and printed.
The Reader Information Screen can also be accessed. A library user can see what they currently have on loan, how many items they are allowed to borrow, the due dates of the items they have, the reservations they have placed, where they are in the queue for those items (and cancel reservations if they no longer need items). They can also access their borrowing history (which can go back some years), their fine payments and charges, review the serials they are on the circulation lists for and check whether anything has been recently catalogued in the subject areas of interest they have chosen from the list provided. This information can only be accessed via a username and password/PIN.
Heritage Online allows unlimited user access. We recognise though that not all institutions will need, or wish to pay for, a system with a lot of excess capacity. Hence Heritage Online is available in several different 'sizes' with the performance adjusted to match the expected usage for each size of system. It is also possible to upgrade from one size to a larger one to cater for changing needs. Licences for use with Heritage Online are included with the module. There are four different options available: Heritage Online Basic, Small, Medium or Large.
- Heritage Online (Basic) is intended for libraries where there would normally only be one or two concurrent enquirers.
- Heritage Online (Small) is intended for libraries where there would normally be less than six or seven concurrent enquirers.
- Heritage Online (Medium) is provided for libraries which frequently expect up to twenty concurrent enquirers.
- Heritage Online (Large) is for libraries which regularly expect more than twenty concurrent enquirers.
The price for each of the above options is £1,250 plus VAT, £2,250 plus VAT, £4,500 plus VAT and £9,600 plus VAT respectively but it is possible for existing users to 'trade in' their existing WebOPAC and licences and subtract the figure already paid from the cost of the above configurations. Acquisitions Module
Heritage has a very comprehensive ordering facility which caters for a wide variety of order types including: standard, instant, standing order, subscriptions, open orders and returns. A fast receipts facility provides an easy way of checking in and barcoding items. There are sophisticated budgetary controls including a transaction history. Information about invoicing can also be recorded. Order claims and subscription letters can be designed to the library's specifications. For multi-site libraries orders and budgets can be managed separately for each site.

Marc Cataloguing Module
The Heritage Marc Cataloguing Module enables Marc 21 (US Marc 21) records to be imported, created and exported from within Heritage. Each Marc record has a unique standard number and the Marc record is displayed in readable format in the Marc Editor. A Marc record has a connected Heritage catalogue record with the same standard number. This is created by mapping the indicators and tags within the Marc data to fields within Heritage.

Fines Module
The Fines Module enables library staff to automatically charge for overdue items, maintaining an ‘account’ for each borrower. Ad hoc waivers and charges can also be applied to the borrower’s account (e.g. charges for subscriptions or lost items). Certain controls can be introduced, whereby borrowers with outstanding fines over a certain amount can be automatically barred from reserving and/or borrowing items until the fine amount is paid off below the level specified by library staff. Heritage allows for the creation of different circulation rules for each combination of reader type/medium/loan type (with different fine levels and different frequency of overdue letters as well as different loan periods etc). This includes hourly as well as daily fines.
NB. The Fines Module is not required simply for levying charges such as postal loan or service charges.

Reader Import Module
The optional Generic Reader Import Module will enable the library staff to download borrower records from a management information system on a regular basis. This download can be scheduled to happen without the intervention of library staff (this assumes that a download of information from the management information system can also be scheduled). At certain periods, such as the start of an academic year, it could be very frequent (e.g. hourly), reverting to daily or weekly later on.

Heritage Connect
Heritage Connect is the collective name for a new portfolio of inter-operability modules. They include Heritage Connect Live, a real-time reader import facility which uses ODBC to provide a seamless link between Heritage and a variety of management information systems. The module can be used to perform both batch imports (multiple records at a time) and real-time imports—importing reader information when a reader barcode is scanned. If the borrower is new to Heritage then a new record can be created on the fly.
Heritage Connect Live will need to be configured to the MIS being used, which will normally incur a consultancy charge. Other facilities provided by the suite of modules include LDAP support for user authentication, ODBC export facilities and other data import and export routines for a variety of data sources and suppliers.

Heritage Biometrics
Heritage Biometrics allows you to use a fingerprint recognition system with Heritage. This will allow your readers to access their records and perform circulation functions by just scanning their fingerprints, increasing both speed and security. Once you have set up the system, it can be used to control access to other facilities, for example you may wish to use it for electronic attendance registers, entry access control systems, photocopier budgeting, cashless catering, etc.

Z39.50 Server Module
A Z39.50 server module is available for Heritage. Heritage Z object (server) is written to comply with Z39.50 Version 3 but does not support all of the attributes. It can be used with proprietary brands of client (we do not provide a client). We anticipate developing towards SRW in the future, but have no timetable for this development as yet as the requirement is currently being driven by the needs of the NHS. We are keen to make greater use of a Web-service instead of Z39.50, with the information being delivered in XML. We also offer a Z39.50 hosting service (please contact the sales team for further information).

Unify Module
The Unify Module transfers catalogue changes from one Heritage database to another (normally held on a web server). This means that libraries that are otherwise separate can create and maintain a joint Heritage Online. One of the participating sites would purchase Heritage Online Server Module and licences, and then a Unified catalogue containing data from all the participating sites would be created (separate to the host's own Heritage catalogue). This data would not be live, so would not contain any availability or reader information.

Server Performance Pack
The optional Server Performance Pack (SPP) offloads database administration from the individual workstations to the fileserver, thereby reducing network traffic. It is available for Windows 2000, 2003 and Novell fileservers (both IP and IPX are supported on Novell, but you may require specific versions of the Novell supplied clients). The SPP is recommended for all installations with three or more users (but is not required if Terminal Services is implemented).

Inter-Library Loans Module
The new Inter-Library Loans (ILLs) module is now available for Heritage versions 4.2.5 and above. It has been carefully designed to manage all your ILL needs, and can be used to request items from any library. However, a key feature of the module is that it supports the ILL procedures and formats specified by the British Library Document Supply Centre and will automate ILL requests from the British Library using their ARTEmail system. Heritage Self-Service
The Heritage Self-service module allows self-issue systems from 3M, Plescon, 2CQR, Intellident and others to connect to Heritage, thus enabling users to issue stock to themselves. The Heritage Self-service module utilises the ‘SIP2’ protocol and, as a result, any device that uses SIP2 over TCP/IP, e.g. library security systems, PC bookings software, telephone renewals and RFID systems, should in principle also be able to talk to the Heritage Self-service module. (If you wish to investigate using the module with hardware other than a self-service machine, please check with Heritage Technical Support that Heritage supports all the commands required by the system you wish to use.) You must be running at least Heritage 4.2.7 in order to use the Self-service module with most hardware.

Web Trainer
Web Trainer is a service available to all Heritage users where you can talk to a personal tutor on the telephone. It uses the latest technology to enable your tutor to see what you are doing on our PC screen while training you on the telephone, and can be used for ad-hoc training on any area of Heritage, or for help with installation, configuration or customisation.
Web Trainer is priced at £50 plus VAT per 30 minute slot.

The installation of this module requires a very good working knowledge of Internet systems and Internet Information Services or Apache. IS Oxford realise that some customers may not have the time or staff to install and setup this product. Starting with the release of Heritage Online 2.4 we now offer an opportunity for you to sit back and let us do the work for you. Utilising the Web Trainer system we can install and configure Heritage Online to your requirements and integrate it with any existing internet pages or setup that you may have. We would do an initial review of you requirements then give you an esitmate accordingly.

On-site Technical Visits (for installation/configuration/system MOTs)
We provide on-site consultancy services for a variety of different purposes: system configuration, screen customisation, annual MOT etc.
Heritage has been designed to be maintained by librarians, therefore most customisation is straightforward and menu-driven.Sometimes, however, library staff simply do not have the time to sit down with the manual and find out how to undertake the customisation work required, and therefore it is often much easier, quicker and (when staff time is taken into account) cheaper, to arrange for an on-site visit from one of our Support Services Team.
We can either sit down with a member of staff and show them how to customise areas of the system (i.e. training 'on the job') or you could provide us with a list in advance of all the changes you require and we can simply get on with it! Some users may find it beneficial to have an annual visit, where we can sit down and go through your system to check for any data inconsistency that may be affecting performance, or load upgrades that may solve problems you have identified.

One example of the system configuration we provide is our popular 'Circulation Rule Check & Cleanse' service. We often find that users have many more rules than they actually need, and that things can be simplified if time is taken to sit down and work through them. Generally this would not take a whole day, and it is always our aim to use the time you have purchased from us as efficiently as possible, so any time left over could be spent checking other areas of the system, writing reports or performing general housekeeping tasks.

Report writing service new!
The Heritage reporter is incredibly flexible and provide the facilities for users to create and save their own reports on any area of the system. The most popular reports are included as standard (and we ensure that we add new reports as part of every Heritage upgrade), but often very specific information is required that our general reports do not cover. Creating reports, when perhaps you are not experienced in using the reporter, can be time-consuming, so often it would be more cost-effective to ask our Support Services Team to create them for you (this does not necessitate an on-site visit). Prices for this service will be on demand, depending on how long it takes us to create the reports, but as a general rule we normally can produce two Banded reports in an hour.

System customisation
Heritage is extensively customisable. It is possible for library staff to change background images, colour schemes, menu names, field names and help text. Often, however, staff do not have the time to sit down and work out how to do this. This is where we come in - we will discuss and agree with you the changes that you wish to make, undertake them at our offices in Oxford and then apply the changes to your live system. Some customisation, such as moving fields from screen to screen or creating new catalogue record templates for different media types, can only be undertaken by IS Oxford staff, so would certainly require our assistance.

Heritage Online Hosting
We have offered a Heritage Online hosting service to our customers for several years. We offer a hosting service both for live catalogues - where item availability, reader information and reservations are available - and for offline catalogues - where it is only possible to search for items and not see if they are on loan or not. If we are to host a live or offline catalogue then you will need to meet a one-off set-up fee and an annual hosting charge. You will also need to purchase Heritage Online server module and additional OPAC licences (if you haven't already).
A major advantage of us hosting the catalogue is that we will be responsible for installation and maintenance of the module. The data that is published can be updated as frequently as required and tools are provided to facilitate this. If live data is hosted then a connection will be required from our WebServer back to your Heritage fileserver. Security considerations mean that this is not always possible. In particular NHSNet users would not be able to access availability and reader information using our standard service.
Heritage Online Hosting Set-up charge is £750 plus VAT, and the annual hosting charge is £1,000 plus VAT.

NHS Heritage Online Hosting new!
This scenario differs from the Standard Heritage Online Hosting in that it gives full Heritage Online functionality to all users whether within NHSNet (via the Internet) or on the Internet. Heritage Online would be installed here but would use the individual NHS library's live data. Any requests for item availability, reservations or reader information would be passed back to your system live i.e. just like running Heritage Online at present. You would therefore need to do very little in terms of setup or daily support of the web side of Heritage.
An important advantage of this approach is that we would be handling the installation, configuration and maintenance of Heritage Online - you (or your IT department) would not have to. Also it will continue to work your data server goes down - there will simply be no reservations and availability information during that period. Furthermore, if your IT department are in agreement, we should be able to offer remote support of Heritage for customers using our Remote Hosting Service.
The NHS Heritage Online Hosting Set-up charge is £1,250 plus VAT, and the annual hosting charge is £1,250 plus VAT.

ASP Services
It is now possible for IS Oxford to host an entire system at our offices for our customers - all that would be required from you is to provide suitable workstations and printers to your users (the dataserver/webserver etc would be entirely our responsibility). We would maintain the system for you and undertake work such as applying upgrades outside normal working hours (9am to 5pm). For more details of this service please contact our sales team.
